At GSweep, our primary purpose for processing your information is to provide and improve our email management Services as configured by you. We do not use your email content for advertising, and we do not sell your personal data.
Our systems automatically process information we collect associated with your use of GSweep to deliver its core functionality, such as applying your chosen rules to your emails. In some instances, for technical support or security reviews, limited manual (human) review may occur under strict conditions.
2. Information Categories We Use
The actual information we use depends on your specific use of GSweep features, but it is always limited to what is necessary for the Service to function as intended.
a. Information You Provide or That We Access Through Your Use of the Service:
- Email Content (Messages): We access the content (body, subject, sender, recipient, attachments metadata) of your Gmail messages only as necessary to execute the specific rules you configure. For example, to:
- Identify emails based on sender, subject, or other criteria you specify.
- Perform actions like deleting old emails, keeping only the latest, applying labels, or moving messages to trash.
- Process messages within defined date ranges for cleanup rules.
- Display relevant email previews or details within the add-on interface for filter setup or logs.
- Filter & Rule Configurations: The specific rules you create within GSweep (e.g., sender, subject, rule type like OVERWRITE, KEEP_RECENT, DELETE_OLD, LABEL_PREVIOUS). This information is stored to enable the automated and on-demand execution of your filters.
- Account Information: Your Google User ID and Gmail email address. This is used to identify your account, link it to your GSweep filters, manage your subscription plan (Free or Pro), and provide direct support.
- Communications with Us: If you contact us for support or feedback, we collect the content of your communication (e.g., emails sent to our support address, feedback form submissions).
b. Automatically Collected Information:
- Usage Data: Information about how you interact with the GSweep Add-on, such as:
- Features used: Which parts of the add-on you click on (e.g., adding a filter, viewing logs, using “Sweep Now”).
- Frequency and duration of activity: How often and for how long you use the add-on.
- Filter execution logs: Records of when your filters run, the rule applied, and the outcome (e.g., number of emails processed, any errors). This helps us audit and understand the application’s behavior and troubleshoot issues.
- Device Characteristics & Software: Basic information about the device you are using to access Gmail and GSweep (e.g., browser type, operating system, device identifiers). This helps us optimize performance and troubleshoot compatibility issues.
- Network Information: Your IP address and information about your internet connection. This is primarily used for security, fraud prevention, and general analytics.
- Information from Cookies and Similar Technologies: We use Google Apps Script’s built-in functionalities, which may involve cookies or similar technologies for session management and user authentication within the Google environment. We do not use these for cross-site tracking or advertising.
3. How We Use Your Information

- Providing and Improving GSweep Services:
- To create and maintain your GSweep account and link it to your Gmail.
- To execute your configured email rules automatically and on-demand.
- To provide access to your filter settings and sweep logs.
- To develop, research, and test improvements to GSweep, ensuring features work correctly, troubleshooting issues, and enhancing performance (e.g., optimizing filter execution speed).
- To understand usage patterns in aggregate to inform product development.
- Promoting Safety, Integrity, and Security:
- To verify accounts and activity to detect and prevent spam, abuse, security matters, and other harmful or unlawful behavior related to the GSweep Service.
- To maintain the integrity of our Service and protect our users.
- To Communicate with You:
- To send you service-related notifications (e.g., updates, maintenance alerts, subscription confirmations) via email or in-product notices.
- To respond to your support inquiries and feedback.
- To inform you about changes to our terms or policies.
4. How We Share Your Information
We share your information only in limited circumstances, as described below:
- With Third-Party Service Providers (Stripe): We use Stripe for all subscription management and payment processing. When you upgrade to a paid plan, your payment information (e.g., credit card details) is collected and processed directly by Stripe. GSweep does not directly store sensitive payment card information. We share minimal necessary information (like your email address) with Stripe to facilitate your subscription and account management. Stripe’s use of your information is governed by their own privacy policy.
- For Legal Reasons or to Prevent Harm: We may access, preserve, use, and share your information if we have a good-faith belief that it is reasonably necessary to:
- Comply with applicable law, legal processes, or governmental requests.
- Enforce our Terms of Service, including investigation of potential violations.
- Detect, prevent, or otherwise address fraud, security, or technical issues.
- Protect the rights, property, or safety of GSweep, our users, or the public as required or permitted by law.
- With Your Consent: We may share your information for other purposes with your explicit consent.
- Aggregated or Anonymized Data: We may share aggregated or anonymized data (data that cannot be used to identify you) with third parties for analytics, research, or business intelligence purposes. This data helps us understand general usage trends and improve GSweep, without compromising your privacy.
We do not share your email content for advertising purposes.
5. Transferring, Storing, and Processing Your Information Across Borders
GSweep may store and process your information on servers located in various countries, including the United States, where our service providers (like Google Cloud Platform for the Add-on’s backend) operate. This is necessary to operate and provide the Services globally and to ensure efficient troubleshooting, analysis, and improvement of our products. We implement appropriate safeguards to protect your information when it is transferred across borders, in accordance with applicable data protection laws.
6. Your Rights and Choices
You have control over your information and how GSweep uses it:
- Accessing and Managing Your Filters: You can view, edit, and delete your email filters directly within the GSweep Add-on interface at any time.
- Uninstalling GSweep: You can uninstall the GSweep Add-on from your Gmail account at any time. Upon uninstallation, GSweep will no longer have access to your Gmail data or execute rules.
- Data Deletion: If you wish to request the deletion of data associated with your GSweep account that is not automatically deleted upon uninstallation, please contact us.
- Subscription Management: You can manage or cancel your Pro subscription directly via the GSweep Add-on, which will redirect you to Stripe’s billing portal.
7. Data Retention
We retain your information only for as long as necessary to provide the GSweep Services, fulfill the purposes described in this Privacy Policy, and comply with our legal obligations.
- Email Content: Is processed in real-time or near real-time based on your rules. We do not store a persistent copy of your email content on our servers beyond the immediate processing needed to apply your rules. Once a rule is executed, we do not retain the content of the processed emails.
- Filter Configurations & Account Information: Retained for the duration of your active GSweep account to ensure your filters continue to run. This data is deleted when your account is closed or the Add-on is uninstalled, subject to a reasonable grace period for reactivation and legal retention requirements.
- Usage Data & Logs: Retained for a limited period for analytics, troubleshooting, and performance monitoring. Aggregated or anonymized data may be retained longer for product improvement.
8. Data Security
We are committed to protecting your information. We implement technical and organizational measures designed to safeguard your data against unauthorized access, disclosure, alteration, or destruction. However, no internet transmission or electronic storage is entirely secure. We cannot guarantee absolute security. We also rely on Google’s robust security infrastructure for the Gmail platform and the Google Workspace Add-on environment.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any significant changes by posting the updated policy on our website and/or through the GSweep Add-on.
